Data Deletion Policy

1. Overview

This page explains how you may request the deletion of personal data that MIMOS Services Sdn Bhd ("MSSB", "we", "us", or "our") holds about you. It supplements, and should be read together with, our Privacy Policy and is provided in accordance with the Personal Data Protection Act 2010 ("PDPA").

These instructions apply to personal data we collect when you interact with us through our website, our forms and enquiries, and our messaging channels — including WhatsApp and other Meta platforms — as described in our Privacy Policy.

2. Your Right to Request Deletion

As set out in our Privacy Policy, we retain your personal data only for as long as is strictly necessary for the purposes for which it was collected (see Section 7, Data Retention). You may ask us to delete your personal data, and you may also withdraw consent or request that we limit the processing of your personal data (see Section 10, Your Rights Under the PDPA). Where personal data is no longer required, we take reasonable steps to securely delete, anonymise, or destroy it.

3. How to Submit a Deletion Request

To request deletion of your personal data, please email our Data Protection Officer with the subject line "Personal Data Deletion Request" and include:

Your full name;
The contact details you used with us (e.g. email address and/or phone number);
The identifier associated with the data — for example, the WhatsApp number or email address you used to contact us;
A brief description of the personal data you would like deleted (or state that you wish to request deletion of all personal data we hold about you).

4. Verifying Your Identity

To protect your privacy and prevent unauthorised requests, we may need to verify your identity before acting on a deletion request. We will only use the information you provide for the purpose of verifying and processing your request.

5. Processing Time

We will respond to your request within 21 days in accordance with the PDPA, and will confirm in writing once your request has been actioned. Where a request is complex or where we require further information to verify your identity, we will keep you informed.

6. Exceptions and Retention

In certain circumstances we may be unable to delete some or all of your personal data, and may instead retain it for the minimum period required, where retention is necessary to:

comply with a legal, regulatory, or contractual obligation to which we are subject;
establish, exercise, or defend legal claims, or resolve disputes; or
otherwise as required or permitted under Malaysian law.

In such cases, we will delete or anonymise the remaining personal data once it is no longer required, consistent with Section 7 of our Privacy Policy.

7. Effect of Deletion

Please note that once your personal data is deleted, we may no longer be able to provide certain services to you, respond to your earlier enquiries, or maintain a record of our prior correspondence.
